The Alltech-Hartpury Student Conference is scheduled for Wednesday 7th May 2025 from approximately 8.30am – 5.00pm at Hartpury University, Gloucestershire, U.K.
To stick to the ethos and underpinning aims of the Conference, this is an in-person event only. We do not offer online or hybrid engagement. Session recordings are not available after the event.
The Conference is an all-day event consisting of morning, lunchtime & closing keynote speakers, interspaced by student oral presentations & poster sessions and networking events. There are also short coffee breaks, and a lunch break as well.
The draft programme for this year is available via the website and will be circulated via our social media pages, alongside the launch of our Keynote speakers. The final agenda will be confirmed nearer the day once all student speakers have been confirmed.
Yes, we actively encourage all delegates to use the two poster sessions and the lunch break as opportunities to network with staff and students from other institutes, industry partners that are in attendance for the day, and of course with the keynote speakers.
If you are presenting, then we encourage you to dress relatively smart and professional. Non-presenting delegates generally wear smart casual outfits that are comfortable to sit in through the course of the day.

Group discounts are available, whereby, for every nine tickets purchased, the 10th ticket is free. Should you wish to make the most of our group discount offer, please contact our Finance Department directly on either 01452 702185 or 01452 702148.
You will not be emailed a ticket, however, you will be emailed a receipt on booking. A list of the names of all paid delegates will be on the registration desk on the day of the Conference. Please present your name to our registration desk on arrival, and collect your badge and goody bag, at which time you will be marked as having registered. It is advisable to have a copy of the ticket receipt on your phone in case of any queries.
If you are no longer able to attend the Conference but someone you know would like to take your place, that is fine, but please email alltech@hartpury.ac.uk to confirm this and the name of the delegate now attending in your place.
If you are no longer able to attend and you inform alltech@hartpury.ac.uk before midnight on Sunday the 4th of May 2025, we will organise a full refund of your ticket price. No refunds will be given for cancellations made after midnight on Sunday the 4th of May 2025.

Hartpury is located on the A417, just four miles north of Gloucester, and is easily accessible from the M5, M50 and M4.
Please be aware, there are roadworks on the A417 at Birdlip due to ongoing road improvements in the area.

Yes, we have free on-campus parking for all attendees, including delegates and keynotes. Parking will be signposted on arrival to campus – please follow signs for 'Alltech-Hartpury Conference' when you turn off the main road.
Yes, whilst limited in number, there are charging points available within the main car park that you will be signposted towards as you enter the campus for the Conference. These charging points can be found at the far end of the carpark, nearest the entrance to Hartpury House.
If these are all in use, there are additional charging points in the new car park near the Sports Academy. If you are unsure how to get to this, please come and speak to the Conference staff in the registration hall and we can point you in the right direction.
Gloucester Train Station is the nearest rail connection from Hartpury University (4.7 miles) with connections to Cheltenham, Bristol, Birmingham and London.
Gloucester also has a bus station at the Gloucester Transport Hub, located 1-4 Station Road, Glos, GL11SZ, operating Stagecoach & National Express Services, including services to local areas, and further destinations including London, Bristol, Bournemouth and several national airports.

We are located just a few miles outside of Gloucester City and therefore there are lots of accommodation options available around the city. There are several Premier Inn’s in the Gloucester area depending on which direction you are travelling from and what else you would like to do or see during your stay. There are also a number of Holiday Inn’s, Travel lodges and smaller private hotels and B&B’s in local area.
Yes, all parts of the campus that are being used as part of the Conference are accessible to those with disabilities.
If you are a wheelchair user, or have mobility issues, please do let us know in advance by contacting alltech@hartpury.ac.uk and we can reserve specific seating for you that is the most easily accessible for your needs.
The price of Conference admission does NOT include lunch, however, we have several catering providers onsite with a range of food options to satisfy you during the lunchbreak slot. We also have a range of coffee shop facilities on campus, including Starbucks and Costa for your early morning arrival, or that mid-afternoon pick me up!
Tea, coffee, water and juice will be provided as refreshments during registration and during our morning and afternoon poster sessions.
Our catering facilities offer a wide range of provision, catering to many dietary restrictions. If you have any concerns, please contact us directly on alltech@hartpury.ac.uk.
Any delegate with significant dietary restrictions and/or allergies who may be concerned about food options is welcome to bring their own safe foods for the event.

Yes, guests will be able to log into our free Guest Campus Wi-Fi with details available from the registration desk on arrival.
We don’t have any event app or online platform for this Conference; however we do encourage our delegates to follow us on our various social platforms & post updates during the event, including photos and videos.

There are a small number of locations for charging devices in some of the networking space, and some charging points in the main conference hall, which are free for delegates to use. We advise delegates to bring fully charged devices if they wish to use them to support the day as charging points are limited and available on a first-come-first-serve basis.

Students do pay entry fees, but this is discounted if their work is accepted for presentation (oral or poster). Early bird discounts are currently on our website (Click here for the AHC website link) until April 5th (5pm) as well for anyone who might want to attend but not present. We also offer discounted tickets for group bookings so you may want to speak to your peers/supervisor about options to attend as a group, particularly if you are travelling from outside of Hartpury.

We encourage students on all HE levels of UG or PG (Level 3 – 8) to attend the day. We would suggest that the day is particularly relevant to students studying on developments in research, and/or current issues based modules, and/or any student looking at developing project ideas for a Dissertation/Research Project module next academic year. If you would like to learn more about research in the equine industry, do book your ticket and come along!
We encourage all UG & PG research students to submit their work to the Conference, but particularly suggest it is beneficial if you are keen on further study (PG, PhD’s), are looking to showcase your work and/or gain valuable presentation experience for future employment, if you have novel or interesting findings worth sharing, and/or if your project is being considered for publication in future.
We accept UG & PG students to present as either oral or poster Presentations. Oral presentations are usually 15-minute slots – 10 minutes presentation followed by 5 minutes Q&A. Poster presentations create a large scale poster (A1) which is displayed in our poster rooms, with poster networking sessions in morning & afternoon. Once your abstract has been reviewed, you will be emailed the reviewers comments to action any changes prior to acceptance. These can be major, minor or no revisions required (acceptance). Most students get major and minor revisions in the first round of review, and abstracts might go through up to 4 rounds of reviews before final acceptance.
Comments will be provided as track changes from an allocated reviewer and you will be notified of a deadline for the completion of any amendments. Please action these comments as thoroughly and quickly as possible to ensure a speedy review process, and speak to your supervisor to help you with this process.
